CHAPTER - I

INTRODUCTION


1.1     Background of the Fieldwork Report

The concept of co-operative is not new to the Nepalese society. The concept of co-operative which is based on the concept that the general people can themselves improve their living standard and earned a livelihood through the means of co-operation among themselves in doing a business. Nepal's economy is preliminary based on agriculture. In this industrialized world the aeration economy is not adequate for prosperity of nation, for the growth of any economy development of micro entrepreneurship essential.  

Nepal is one of the under developed country in the world. About 42% people of the total population are below the poverty line. The main cause of this poverty is over population and unemployment. Therefore, the efficiency of the firm is reflected in the inflow and outflow of funds in the business. It is necessary to have an analysis of the dynamic aspects of the flow of funds to understand the operational efficiency of the business concern. Such as analysis is made through Funds Flow Analysis by preparing a statement called a statement of changes in Financial Position or Funds Flow Statement. The Funds Flow Statement is a statement, which shows the movement of funds and is a report of financial operations of the business undertaking. We can study with the help of Funds Flow Statement, changes in the financial position of business enterprises between two financial statement dates, beginning and ending it helps us to understand how and why the financial position of the business has changed during the period.


1.2                  Description about the study area

The concept of co-operative was helped to grow manifold by the implementation of the co-operative Act 2048. Under the same Co-operative Act, Section 11, the "Devnagar Milk Production Co-operative Organization Ltd. (DMPCO)" with a long-term vision of serving and helping the general public was established in year 2052 in Geetanagar – 4, Devnagar, Chitwan. This Co-operative started its function on 2 – 1 – 2052. In the year 2052 "Devnagar Milk production Co-operative Org. Ltd." share capital of Rs. 1, 35,000.

            The organization has earned recognition from "Central Milk Production Co-operative Union". It also earned second prize in the eight International Co-operative Day in 2059 for begging the best among the co-operatives in its production.

The board of directors of this co-operative consists of 11 members in organizing committee along with 3 in account section. The organization performs multipurpose services. It acts as a diary, a credit providing organization and a saving institute. It also has a piece of land along with a building of its own in Geetanagar- 4, Devnagar, Chitwan.

1.3       Literature Survey

The collection of money from different sources and spending them in different head is simply called the funds flow statement. The statement of changes in working capital, the sources and uses of funds and resources provided and applied is called the fund flow statement. To make clear the meaning of funds flow statement, going through some of the books, the relevant definitions and quotation by different writers are found suitable and are quoted below:-

1.4      Identification of the Problems

The present study will attempt to analysis the financial performance & inflow & outflow of DMPCO. Basically, this fieldwork study intends to solve the following problems:-
1.                  What are the major financial tools and techniques used by DMPCO?
2.                  What are the factors influenced the sources and application of DMPCO?

1.5            Purpose of Fieldwork

Behind every study there always exist some certain and specific reasons with certain purposes. The preparation of the fieldwork report on the topic of funds flow statement of DMPCO was done mainly for the following reasons:-
A)        To make the student capable for observing and studying of particular situation of an organization.
B)        To make familiar to the student with the problem of working man power.
C)        To develop basic research skill of the student collecting, processing, analyzing and interpreting the data.
D)        To build up confident to the student over their gained knowledge.
E)        To analyze the fund of project of this co-operative.
F)         To study about the sources and uses of funds.
G)        To examine about the attainment, utilization and use of the funds collected by the organization through different sources.


1.6     Limitation of the Study
                        .
                        In order to study deeply about any topic of any sector of an organization, there should not be any time, cost and resources barrier. But according to the course study of our level, we have to complete the report on the selected topic with a lot of limitations regarding time, cost and resources. Thus this fieldwork survey has been prepared with lots of limitations and various factors are being ignored due to the same. Similarly, this study is concentrated only on financial position and its aspects but other factors are ignored.








CHAPTER - II
           
Research Methodology

2.1     Introduction

                        "Research methodology is the way to solve systematically about the research  problem", so that the present study has its objective to analysis, examine and interpreted the application of fund, is used in the process of financial effectiveness with the help of various financial statement and non-financial matters.

2.2     Research Design

            The research design of this study is descriptive as well as analytical. This study is procedure in the process of sources and use of fund and financial analysis of Devnagar Milk Production Co-operative. This study has close relations with the various financial aspects and other accounting statements. The information collected flow primary and secondary sources are used to examine, explain and interprets financial statement of DMPCO Ltd. by using financial and accounting tools.

2.3     Period Covered

            The present study covers a time period of two years from fiscal year 2061/062 – 2062/063. The analysis is mainly used on these two years data and information.

2.4     Methods of Data Collection

             Data is the backbone of all fieldwork report. It is important that which methodology of data collection, we apply, the useful data are collected for the report from mainly two sources:

a.         Primary Data Collection:
This data includes the collection of the necessary data by self-visiting the organization. This method consists of different methods:
i)                                            Interviewing: while visiting the organization some questionnaires were prepared. Later on these questionnaires were asked to the concerned persons. The interview was conducted faces to face and curiosities related to organization were also settled.
ii)                                          Observation: For getting more information about the work procedure of the organization physical self-observation of the working procedure of the organization was undertaken.

b)     Secondary Data Collection:
This method involves the study of data collected previously. The data in certain basic books as well as prewritten fieldwork report of last years were studied.

2.5     Tools for Analysis

                        Collected data and information from the sources have analyzed and presented in the proper table, format and charts. Such table and formats are interpreted and explained wherever necessary. In order to analyze the collected data some financial and accounting tools. Such as Working Capital, Funds from Operation, Ratio Analysis and other ledger have been mainly used as per the requirement.

2.6     Fieldwork Procedure

                        While writing the report many procedures are followed by setting field visit program of "Devnagar Milk Production Co-operative Org. Ltd." Geetanagar – 4, Devnagar, Chitwan. The procedures followed are as follows:
a)                  The advice of subject teacher is taken to identify the suitable fieldwork is order get necessary data easily.
b)                  To get permission submission of application to the college administration for registered the topic.
c)                  By visiting the work site, the information about the enterprises and location are taken and noticed where the information needed for preparing report will be available or not.
d)           The necessary questions about the organisation are prepared.
e)                  The necessary data and information from the organization stall in a friendly and helpful atmosphere.
f)                   In search relevant if information, library books, reports and some booklets where consulted. In course of this fieldwork study, Our subject teacher was constantly consulted. He provide various advice and suggestions with paused a way for carrying out the report. Then the fieldwork is finalized in the format provided by Tribhuvan University.

3.1     Presentation of Data

            For preparing the fieldwork report, first of all it is necessary to have the actual required data. So the actual balance sheet of "DMPCO" has been presented below:-

Conclusion:-   The above calculation of changes in working capital of the organization shows that the working capital for current year increase by Rs 1,10,087 from that of the previous year. It shows the organization has strong capacity regarding immediate payment.

3.2     Analysis of Data

            A through analysis of the data presented shows that the organization is in good position regarding net surplus, its paying capacity to creditor etc.

            According to Table No 1.2 the data that shows the statement regarding changes in net working capital of the organization has increased by Rs 1,10,087 from the previous accounting year i.e.061/062. This increase in working capital shows that the firm has a strong to moderate capacity regarding day-to-day payments.

            According to Table No 1.5 in the current accounting year i.e. 2062/2063, the firm has collected its funds from different sources and had used this funds collected in different uses. Regarding the sources of funds, the major contributor has been the realization of member's loan (Rs 7, 07,395 or 31.269%). The other sources were issue of new shares (Rs 6, 12,200 or 27.062), funds from operation (Rs 4, 48,250 or 19.814%), deposits (Rs 3, 34,409 or 14.782%) and loan from NDDB (Rs 1, 60,000 or 7.073%).

            The firm has used the funds collected from these different sources for different purpose. The main used has been regarding investment Rs. 11, 35,000 or 50.171%). The remaining Rs 11,27,254 or 49.829% of the funds collected has been used for the purpose of purchasing fixed assets (Rs 5,27,014 or 23.296%) etc. The organization uses Rs 1, 10,087 or 4.866% of the funds collected for meeting its day-to-day transactions or for the purpose of meeting its working capital requirement.

            According to Table No 1.6 the new issue of shares of Rs   6,12,200 shows that the faith of the people is increasing in the organization. This growth of faith of the general public will further help the origination in the future.

            We can conclude from the analysis of the data of the organization that the firm is in good position regarding payment to its creditor and the organization has the capacity to expend its business in the future.


3.3     Study Result

            The total funds collected by the organization for the year is Rs 22,62,254. The organization has collected the funds from different sources. The major contributor has been:-

            The major portion of the funds collected (i.e.50.171%) is used for the purpose of investment. The organization user Quarter (23.296%) of the fund collected for the purpose of purchase of fixed assets. For meeting its working capital requirement the firm's uses 4.866% of the fund collected. For the purpose of refunding of shares and deposits and the repayment of loan and liabilities the organization in total uses Rs. 1,70,834 or 7.551% of the funds. The firm uses Rs 3,19,049 or 14.103% for paying its capital expenditure.
























CHAPTER – IV

SUMMARY, CONCLUSION & RECOMMENDATION


4.1     Summary & Conclusion

            Nepal, being as agricultural and developing country, the chances of getting employed in government as well as in private sector is very low. When the country becomes a monarchial democracy in 2046, the government to increase the status and welfare of the general public made the Co-operative Act in 2048. This act was passed with a long term planning and a view to uplift the living standard of the general public through co-operative organization or through the mean of co-operation among them. With the same view the "Devnagar Milk Production Co-operative Organization Ltd." was formed in the year 2052 in the 10 years since it came into existence, the organization has made a slow but steady progress.

            From, the study made regarding the organization's working capital, it shows that the organization working capital has increased by Rs 1, 10,087 from the previous fiscal year 2061/2062. The percentage of collected fund needed for meeting this working capital requirement (i.e.4.966%) is also good.

            From the study of changes of its Working Capital, we can see from the table that the firm is functioning efficiently in case of its Cash and Bank balance (Increase) but in case of its account receivable, the proportion of A/R for the current year has increased from that of the previous year by an amount of Rs 10, 27,081. This increase in account receivable is sufficiently high. Therefore, the organization should take steps to bring down it’s A/R. From the study regarding account payable the co-operative has decreased its account payable by Rs 10, 25, 860 in a single year. This will increase the faith of the people in the organization since it shows a strong paying capacity of the organization.

            From the study of its Working Capital, Funds Flow and the necessary ledgers of the organization we can see a good future for the organization. The operational profit of the organization for the year 2061/2062 is Rs 4, 48,250 or 19.814%. This shows the percentage of operational profit earned by the organization is good. The new issue of Rs 6, 12,200 (Total Capital) shares shows the strong faith of the people in the organization.

            Lastly, from a deep and intense study of the organization we can conclude and feel certain that the organization can prosper further in the future.




4.2     Recommendation

            According to the study some valuable & timely suggestions & Recommendation are given as follows:
  • Unsystematic collection procedure of DMPCO has made poor performance so, it should built a systematic collection mechanism.
  • The record keeping system of DMPCO should be modern and computerize.
  • DMPCO has not any plan for collection and supplying so, it is suggested to make proper plan before action.
  • To keep pace with changing business environment, it should review existing marketing strategy.
  • The organization (DMPCO) should accept the modern accounting and financial concept to survive in the field of globalization and competition.

If the above suggestions are strictly followed then there will be more or less no reason for criticizing the system adopted by DMPCO.
